You can’t answer every call. You’re under a sink, on a roof, or with another customer. A missed call doesn’t have to mean a lost job if the caller gets a quick, friendly text and an easy way to book. That is all “AI-powered follow-up” really is: software that replies for you in the first minute so you can call back when your hands are free.

Why does a missed call matter so much?
Someone who calls a local business usually needs something now. If nobody picks up, many callers will simply try the next business on the list. I don’t have a trustworthy statistic for how many do, so I won’t make one up. You can find your own number, and I’ll show you how below.
What is a missed-call text-back?
It is an automatic text message that goes to a caller when you don’t answer. A good one is short and sounds like a person wrote it:
“Sorry we missed you! This is Dave from Dave’s Plumbing. We’re on a job right now. Reply here with what you need, or book a time at [link], and we’ll get back to you today.”
The caller knows you saw the call, and they can reply or book without waiting by the phone. Our post on why a text back beats voicemail goes into why this works well for service businesses.
Do I need a booking link too?
It helps. A booking link lets the customer pick a time without a round of phone tag. It is the same idea as a “book a free consultation” button on a website: fewer steps means fewer people give up. See how to book the job on the first call.
What does an AI phone or follow-up system do beyond that?
Depending on how it is set up, it can answer common questions, collect the caller’s name and what they need, and send you a summary. It is not magic, and it works only as well as the instructions you give it. Anything it says on your behalf should be something you would say yourself, so review the wording before it goes live. If you want to compare options, read AI receptionist vs. answering service and see our AI phone system page.
The same idea works after booking: reminders that cut no-shows.
What should I check before I text customers?
Rules about automated text messages exist in the U.S., and they cover things like consent and letting people opt out. I’m not a lawyer and I couldn’t verify the details for this post, so I won’t quote rules from memory. Ask your texting provider how they handle consent and opt-outs, and ask an attorney if you’re unsure. Also make sure the number on your Google profile is one you control. Google’s guidelines say the phone number must connect to your business location and be under the direct control of the business.
What should I do this week?
- Count your missed calls for one week. Your phone’s call log is enough.
- Write down how many of those people you reached again, and how many became jobs.
- Write a two-sentence text-back in your own voice.
- Set up a booking link or a simple way to reply with a photo or a description of the problem.
- Ask your texting provider about consent and opt-out before you turn anything on.
- Test it by calling yourself from another phone and letting it ring out.
- Call back every missed number the same day, even if the text already went out.
Quick answers
Will a text-back replace calling people back?
No. It holds the lead until you can call. The call back still wins the job.
Is this only for emergencies?
No. It helps any business that can’t always answer, such as shops, salons and contractors. Emergency trades just feel the cost faster.
How much does it cost?
It depends on the tool and your call volume, so I won’t quote a price here. Ask for the monthly cost and any per-text fees up front.
Can follow-up annoy customers?
It can if it is pushy or repeats itself. Keep it short, useful and limited to people who contacted you. Our post on automatic follow-up covers how to keep it friendly.
