How to Recover From a Fake or Unfair Google Review

How to respond to a negative review the right way — Sureway Marketing

A one-star review shows up overnight from someone whose name you don’t recognize, describing a visit that never happened or a job you never did. Your stomach drops, and your first instinct is to panic — or fire off an angry reply. I’ve walked several Arizona clients through exactly this situation, and there’s a calmer, more effective process that actually gets fake and unfair reviews handled instead of just making you feel better for five minutes.

First, Figure Out What You’re Actually Dealing With

Not every bad review is “fake.” A genuinely unhappy customer leaving a harsh but honest review is different from a review that’s outright fabricated — written by someone who was never a customer, posted by a competitor, left by a disgruntled former employee, or part of a pattern of coordinated attacks. Google’s own policies only allow removal of reviews that violate specific rules: no relationship to the business, off-topic content, hate speech, conflicts of interest, or spam. A review just being unfair or exaggerated usually isn’t enough on its own to get it taken down — which is exactly why how you respond matters so much.

Flag It the Right Way

Inside your Google Business Profile, you can flag a review for Google’s review team to look at. Do this calmly and factually: note that you have no record of this customer or transaction, and if it’s clearly a competitor or fake account, say so plainly. Google won’t always act, and when it does, it can take days or weeks — so flagging is a step you take and then set aside, not something to keep refreshing and checking. In the meantime, your public response is doing more work than the flag ever will.

Respond in Public Like a Professional, Not a Victim

Here’s the part most business owners get wrong: they write their response to the reviewer, when really they’re writing it for every future customer who reads it. Stay short, calm, and specific. Say you take all feedback seriously, note that you have no record of this visit or transaction under that name, and invite them to contact you directly to sort it out. Never argue, never get sarcastic, and never call someone a liar in public even if you’re sure they are. A cool, professional response to an obviously fake review often does more to build trust with future customers than a glowing five-star review would.

Dilute It With Real Reviews Instead of Obsessing Over One

One unfair review sitting next to forty genuine five-star reviews barely moves the needle. One unfair review sitting next to six total reviews looks like a real problem. The fastest way to protect your rating isn’t fighting every bad review — it’s building enough of a real review history that one outlier doesn’t define you. If a fake review lands and you don’t have much of a review base yet, that’s the moment to actively ask more of your recent happy customers for a review, rather than going quiet and hoping it blows over.

A Simple Checklist for When It Happens

Keep this process handy so you’re not scrambling the next time it happens:

  • Screenshot the review immediately, in case it gets edited or deleted later.
  • Check your records for any customer, order, or appointment matching the name or details.
  • Flag it through your Google Business Profile with a factual, unemotional note.
  • Post a short, professional public reply — never argue or accuse in the comment itself.
  • Keep asking happy customers for honest reviews so one bad one carries less weight.

Protect Your Reputation, Don’t Just React to It

A fake or unfair review feels personal, but the businesses that come out ahead treat it as a process, not a crisis. Flag it, respond calmly, and keep building the kind of honest review history that makes any one bad review look like the outlier it is.
